You do not need a strategy or a roadmap. You need to know what is safe to type into it, a rule your staff will actually follow, and a record of it when your insurer asks. That is the job, and it is part of a managed agreement rather than an extra invoice.
What we do
Most businesses can be in a sensible position inside an afternoon. This is what that afternoon looks like.
Before any rule means anything, we look at what your team is already using and for what. Usually more than the owner expects.
One page. What is fine to put in, what is never fine, and who to ask when it is not obvious. Not a twelve-page policy nobody opens.
Banning it outright just moves it onto personal phones. A business-tier tool that is not training on your data, set up properly, works far better.
Documented, so when the insurance questionnaire or a compliance audit asks what your AI controls are, you have an answer.
Why it matters
The AI problem that actually turns up in small businesses has nothing to do with anything becoming sentient.
A receptionist pastes a case history into a free chatbot to tidy up the wording. That record has now left your building, under terms nobody read, and you cannot get it back.
Somebody summarises a tender document or a client contract. Confidential commercial terms, uploaded to a service that may keep them for training.
This is the part that matters. It is not malicious and it is rarely reported, so the first you hear of it is usually never.
Your insurer and, in a regulated practice, your compliance obligations do not care that it was well intentioned. “We had not thought about it” is not an answer either of them accepts.
While we are here
Probably, for some things. Drafting, summarising, first passes at writing. It is genuinely useful and pretending otherwise wastes your money.
Depends entirely which one, on what terms, and what got pasted in. Free consumer tools and paid business tiers are not the same product.
Not in a ten-person clinic or a shop with four bays. It removes some typing. Anyone selling you more than that is selling you something.
Something specific, in writing, that a normal person can follow. Most businesses have said nothing at all, which is the same as saying yes.
Being straight about it
Every IT company in Texas added an AI page this year. Here is what ours does not claim.
We are not going to train you a model or write you an agent. If that is genuinely what you need, we will say so and tell you it is not us.
A ten-person business does not need an AI transformation roadmap. It needs to know what is safe to paste in and what is not.
The risk here is real and boring, and it is manageable in an afternoon. Anyone describing it as an existential threat is closing you.
